Hello @STierney @karstenkoehler @danmoyle ,

Also, in Hubspot documentation Sync lead ownership and activities it's mentioned "Also, activities from the associated contact or company don't sync to the lead by default. You can also manage settings for syncing ownership and activities. This can help maintain consistent data between associated leads and contacts."

Following that statements, it seems possible to synch activities to associated leads. Am I missing out on something?

I did activate what was needed:

Thank you for your help

I just want to check on my segment, as need to make sure I am clearly defining those that have lapsed for 180 days but then in the last 7 days returned to our site. I don't just want to collect everyone who has visited the site in the last 7 days (need to ensure that they have had a lapsed period)

Re: Need help creating workflows to auto-delete spam emails in Conversations inbox

Hi @DSerra66,

It sounds like you already explored how far the deny list can get you? https://knowledge.hubspot.com/inbox/manage-your-allow-and-deny-list

Before developing anything inside of HubSpot, have you considered fine-tuning the quarantine settings in your email provider settings? Both Google and Microsoft allow this - and it would be far easier and cleaner to automatically quarantine emails based on keywords there than in HubSpot directly.

Within HubSpot, workflow can't directly delete emails / conversation inbox entries, so this would require a custom code workflow action based on the HubSpot API that triggers after the fact. Not having these spam emails land in HubSpot to begin with, by configuring your quarantine / email policies would not let that happen at all.

Best regards

Adding onto this - apparently there is a private beta for Meeting Enrollment into Workflows as a primary object (not associated) coming out soon which would be revolutionary as the above workaround wouldn't be required, and you could re-enroll Meetings in Workflows.

How to auto-filter spam emails in HubSpot conversations inbox workflows?

Hi community,

We’re receiving a high volume of spam emails in our Conversations inboxes with subjects like “TOP Rankings on Google” and similar SEO offers. I’d like your help to understand how we can automatically identify and remove these messages using workflows.

Our goal is:

To automatically detect incoming emails in our Conversations inboxes whose subject (and/or body) contains specific keywords (e.g. “TOP Rankings on Google”, “rank #1 on Google”, etc.).

To ensure this only applies to emails received in our shared inboxes (info@…, support@…), and does not affect normal emails logged from our sales reps or customer replies.

To automatically close/delete those conversations or tickets and optionally tag the associated contacts as spam so we can clean them up in bulk.

We have the following subscription:

Marketing Hub Enterprise (with additional marketing contacts)

Sales Hub Professional

Data Hub Professional

Dedicated IP Add-on

Domains Limit Increase

In the workflow triggers I currently only see “Email events” related to marketing/sales emails (clicked, opened, delivered, etc.), but I don’t see any trigger that lets me use the subject of inbound emails to the Conversations inbox as enrollment criteria.

Could you please confirm:

Whether there is currently a way (or any recommended workaround) to build workflows based on the subject/body of inbound emails to Conversations inbox and restrict them to specific inbox addresses.

If this is only available for certain object types (e.g. ticket-based or conversation-based workflows), how we can enable or configure those in our portal.

If it is not yet possible, what you recommend as best practice to handle and auto-filter this kind of spam in Conversations.

Thank you in advance for your help.

Hey @MParsons3 !

I see you are creating a segment with the criteria you described, which is on my opinion looking good, next steps are
- Go to Automations > Workflows > create a new workflow
- For the trigger criteria, chose contact object and select the option "when filter criteria is met"

- Then select "Segment (list) membership"

- Search for the segment you created with the previously mentioned criteria
- Add WF action "send email" in the communications section

Should look something like this:

I want to create a workflow that finds trade customers who have 1. Been on our website in the past or purchased/engaged with us over 180 days ago 2. Lapsed for a period of 180 days 3. Recently returned to the website (viewed a page). If the customer meets these I need to send an internal email to let a sales rep know and reach out to the customer. I am struggling to figure out the filters I need to find these customers though.

I upvoted the post you mentioned.

But in this case, how are Leads are supposed to automatically move from one stage to another?

Breakthrough! Thank you so much. For context, my scenario was to do with meetings. Every time a Meeting is Completed and Internal Notes are Known, I want to circulate those meeting notes on an internal email notification. Initially this was really difficult (as you can't using activities such as meetings to Re-Enroll) - with this solution, I simply created an Active List called "Companies with a Completed and Noted Meeting Today" using these filterse:

Then I just use List Membership as thje enrollment trigger on the workflow, with re-enroll on.
THe only scenario is might not cover is if a Company has 2 meetings in 1 day both with outcomes and notes - as they would never be removed from the segment and added again, meaning they only enrol the first time around. However, this is a rare case!

Currently, there is no option to automatically associate the activities logged on Contact and Company records to the associated Lead records. With that said, I found this Community post, where another user recently requested this very feature. I highly encourage you to upvote this idea and expand on it in the comments to echo the need for this feature directly to our Product team!

Shane, Senior Community Moderator

Hello,

I have activated automated Lead stage progression :

However, activities that are associated to my companies or contacts don't get automatically associated to the associated lead. This results in the lead stage not moving forward.

I have check the Activities associations settings, however Leads are not an option there:

How do I get my activities (call, emails) to be automatically associated to my leads ?

Thank you for your help!

Flora

Re: Outreach → HubSpot: Capturing Email Engagement for Lead & Account Scoring

Hi @CleverRandy , circling back on this after taking a closer look at the available documentation

Right now, HubSpot can’t treat Outreach sends like native HubSpot emails, so opens/clicks/replies won’t populate the built‑in email engagement properties or timeline events you’d normally score on. Those analytics fields are reserved for HubSpot‑sent marketing emails:
https://knowledge.hubspot.com/properties/hubspots-default-contact-properties

Given that limitation, your “Leading Option” is the right pattern:

Keep Outreach → Salesforce as the source of truth for prospect‑level aggregates (open/click/reply counts, bounce/unsub flags) on Lead/Contact.

In HubSpot, create matching custom contact properties and map the Salesforce fields to them via the Salesforce integration (Settings → Integrations → Connected apps → Salesforce → Contact property mappings):
https://knowledge.hubspot.com/salesforce/map-hubspot-properties-to-salesforce-fields

Use those HubSpot properties as inputs to your contact and account scoring (e.g., thresholds on open/click/reply counts, negatives for bounces/unsubscribes, then roll up to company via workflows). This is very similar to how HubSpot’s own predictive lead scoring leans on behavioral signals:
https://knowledge.hubspot.com/properties/determine-likelihood-to-close-with-predictive-lead-scoring

So the practical answer: score on Outreach’s aggregate engagement metrics synced into HubSpot as contact properties, and use workflows to roll them up for account‑level models, rather than trying to drive scoring from activity‑level Outreach email events.

Hi @Peter____Jones,

Could you confirm that you do not have any filters accidentally applied to the enrollment history or action log? It's easy to miss that it's still filtering for a specific contact.

In these situations, I'd recommend first checking the status page: https://status.hubspot.com/

If there is no mention there, then yes, 20 minutes is an unusually long time for the actions log or enrollment history not to update and I'd recommend reaching out to HubSpot support in-app via chat or email.

Best regards

Why is workflow enrollment not showing in HubSpot history or logs?

I'm testing some workflows currently, and the record is clearly enrolling as I can see the updates on the record going through the workflow.

However, it isn't showing on the enrollment history, performance stats or action logs on the workflow itself. I've been waiting 20m for a record to show as having enrolled and completed.

It's also not showing on the activity feed of the record.

Anyone else experience this?

Very annoying while testing!

Hey FHawkes,

You could try this trick.

1. Swap the trigger for a persona-enrollment-date property (set it up as a date).
2. When the date is < 0 days ago, trigger the workflow.
3. In the workflow, filter based on persona === x.
4. If persona === x, do your workflow.
5. At the end of the persona === x branch, set the persona-enrollment-date to a week in the future.

Since the persona-enrollment-date property is always moving, it will trigger the workflow again and again once the date has passed.

You may need another workflow to set the persona-enrollment-date initially when a contact comes into the system or the persona changes.

Since we can no longer trigger on the persona - make sure to use the branch to filter out contacts that no longer meet the requirements and stop them from triggering!

Out of interest, why would the lifecycle stage and lead status have to be evaluated on a weekly basis - rather then when a change happens?

To answer your question: If you want a workflow to run on a weekly basis, you need Data Hub Professional. You can then set up a workflow that enrolls contacts "Based on a schedule" > "Weekly". https://knowledge.hubspot.com/workflows/use-based-on-a-schedule-workflow-enrollment-triggers

Hi

I'm trying to set Lifecycle stage and Lead Status automatically - based on several enrolment triggers, I want to run this each week so have set the schedule to do this, however my contacts are not going back down the workflow as nothing is really changing on their record - the re-enrolment trigger is persona = x, so when this isn't changing they are not entering the workflow again - I want to keep contacts going down this workflow weekly based on certain enrolment triggers and set these codes automatically. What's the easiest way to do this? Thanks in advance
