How to auto-filter spam emails in HubSpot conversations inbox workflows?

Hi community,

We’re receiving a high volume of spam emails in our Conversations inboxes with subjects like “TOP Rankings on Google” and similar SEO offers. I’d like your help to understand how we can automatically identify and remove these messages using workflows.

Our goal is:

To automatically detect incoming emails in our Conversations inboxes whose subject (and/or body) contains specific keywords (e.g. “TOP Rankings on Google”, “rank #1 on Google”, etc.).

To ensure this only applies to emails received in our shared inboxes (info@…, support@…), and does not affect normal emails logged from our sales reps or customer replies.

To automatically close/delete those conversations or tickets and optionally tag the associated contacts as spam so we can clean them up in bulk.

We have the following subscription:

Marketing Hub Enterprise (with additional marketing contacts)

Sales Hub Professional

Data Hub Professional

Dedicated IP Add-on

Domains Limit Increase

In the workflow triggers I currently only see “Email events” related to marketing/sales emails (clicked, opened, delivered, etc.), but I don’t see any trigger that lets me use the subject of inbound emails to the Conversations inbox as enrollment criteria.

Could you please confirm:

Whether there is currently a way (or any recommended workaround) to build workflows based on the subject/body of inbound emails to Conversations inbox and restrict them to specific inbox addresses.

If this is only available for certain object types (e.g. ticket-based or conversation-based workflows), how we can enable or configure those in our portal.

If it is not yet possible, what you recommend as best practice to handle and auto-filter this kind of spam in Conversations.

Thank you in advance for your help.

I want to create a workflow that finds trade customers who have 1. Been on our website in the past or purchased/engaged with us over 180 days ago 2. Lapsed for a period of 180 days 3. Recently returned to the website (viewed a page). If the customer meets these I need to send an internal email to let a sales rep know and reach out to the customer. I am struggling to figure out the filters I need to find these customers though.

Hello,

I have activated automated Lead stage progression :

However, activities that are associated to my companies or contacts don't get automatically associated to the associated lead. This results in the lead stage not moving forward.

I have check the Activities associations settings, however Leads are not an option there:

How do I get my activities (call, emails) to be automatically associated to my leads ?

Thank you for your help!

Flora

Why is workflow enrollment not showing in HubSpot history or logs?

I'm testing some workflows currently, and the record is clearly enrolling as I can see the updates on the record going through the workflow.

However, it isn't showing on the enrollment history, performance stats or action logs on the workflow itself. I've been waiting 20m for a record to show as having enrolled and completed.

It's also not showing on the activity feed of the record.

Anyone else experience this?

Very annoying while testing!

Hi

I'm trying to set Lifecycle stage and Lead Status automatically - based on several enrolment triggers, I want to run this each week so have set the schedule to do this, however my contacts are not going back down the workflow as nothing is really changing on their record - the re-enrolment trigger is persona = x, so when this isn't changing they are not entering the workflow again - I want to keep contacts going down this workflow weekly based on certain enrolment triggers and set these codes automatically. What's the easiest way to do this? Thanks in advance

Hi everyone,

I recently started setting up the free version of HubSpot and created a few contact segmentations to automatically sort my contacts. Everything is configured correctly on the HubSpot website and displays properly within contact records. However, the drop-down selection for my segmentations is not appearing in the HubSpot Gmail Chrome extension task bar.

I have already signed out of the extension, restarted Gmail, and fully restarted my computer, but the issue persists. I also spoke with an agent and tried both AI chat options, but their suggestions did not resolve the problem.

Does anyone know if this functionality requires a paid HubSpot plan, or if there is another fix I may be missing?

Thank you in advance for any guidance.

For each Contact, I can see the propoerty: "Marketing Events" with a list of Events the specific Contact attended.

Now I want to create a list of People, that attended one specific Event.

The problem when creating a segment is, that I only get the properties "Last registered event" and "Last registered event Date" to filter with. This doesn't work because all the Contacts, that registered for another event afterwards, won't be shown in my segment.

Thanks for any help!

Hi all. I have a workflow that creates an appointment object after a meeting is scheduled. I'm looking to create a similar workflow that updates the appointment pipeline stage to canceled if the associated meeting has been canceled. My approach so far:

New contact property "last canceled meeting ID"

New appointment property "associated meeting ID"

When a meeting is canceled it updates these properties accordingly...

I was hoping to utilize the above to link them together, however, when I go to make the workflow, it only allows me to update a CRM record for "all associated meetings", not just the one.

Is there a different approach?

Thanks!

Outreach → HubSpot: Capturing Email Engagement for Lead & Account Scoring

Hoping to sanity-check a use case and learn from others who’ve solved this.

Use Case
We’re trying to include Outreach email engagement (opens, clicks, replies, bounces, unsubscribes) in HubSpot contact + account scoring.

Current Setup

Outreach emails → Salesforce

Salesforce → HubSpot

Emails appear in HubSpot as logged email in activity line called tasks (which we cannot track for opens, clicks etc)

BUT no engagement metrics (logged ≠ tracked

What We’ve Learned

HubSpot activity timeline can’t surface engagement from logged emails

Outreach → HubSpot email activity mappings are limited
HubSpot analytics fields (e.g. “Number of email clicks”) are read-only

Custom objects don’t solve this

Activity-level scoring isn’t viable here

Leading Option
Mapping Outreach prospect-level aggregate engagement fields (open count, click count, reply count, bounce/unsub flags) into custom HubSpot contact properties, then using those for:

Contact scoring

Account/company roll-ups

Questions for the Group
Has anyone successfully captured Outreach engagement at the activity level in HubSpot (without Salesforce)?

Are Outreach’s aggregate prospect fields reliable enough long-term for scoring?

Has anyone used Outreach API / middleware to push raw events into HubSpot?

Any gotchas with contact-level syncing we should anticipate?
Appreciate any patterns, anti-patterns, or war stories

Creating workflows for bucketing leads from webinar reg

I'm trying to create a workflow to ensure all leads from a webinar get associated to a lead bucket i've created called 'marketing-generated'.
The onboarding videos and the AI assistant keeps telling me the same thing and my UI is different. I cannot see the options they tell me to click on.
I create workflow>from scratch>choose trigger (form submitted then selected page).. then i can't go any further. I don't have a '+' sign anywhere that the videos and Ai keep telling me I have. All I can do is add conditions for eligible records or re-enroll.
I'm new to hubspot and getting very frustrated! Can anyone help?

Webinar confirmation email not sending after double opt-in

Hi! New contacts submit a webinar registration form and correctly receive the double opt-in confirmation email as well as the thank-you email. However, even after confirming their subscription, they never receive the webinar confirmation email.

The webinar confirmation email is sent via a workflow. The workflow enrollment criteria includes Marketing email confirmation status set to any of the following:

User clicked confirmation

HubSpot rep marked confirmed

Confirmed from previous behavior

Confirmed due to form

Confirmed

Customer marked confirmed

Despite meeting these criteria, newly confirmed contacts are not receiving the webinar confirmation email. Are there additional settings related to double opt-in, workflow timing, re-enrollment, or email permissions that could prevent the webinar confirmation email from sending?

Using custom label for email send in workflow

Hi,

I've created a dealbased workflow that automatically send out an email to the main onboarding contact which is set as the primary contact of a closed deal.
Now i've created a new custom label to make it more clear and to not use the Primary Contact label.

However since i last created this workflow there must have been a change as i can no longer choose to send email to associated contacts based on label. Im looking for an alternative way to do this.

As seen in the picture below. The goal is to just send to one contact marked with Onboarding Email Contact.

Help is much appreciated.

Lead scoring workflow

I have a workflow where at reaching certain score a workflow will trigger and move a contact from lead to MQL

Now, there are certain parameters in scoring where there is substraction n addition. I am facing an issue at the moment the score is being calculated so at that time my score reaches a trigger score it gets enroll but since score is still being calculated the substraction parameters lowers the score below the threshold but the workflow has already moved contacts to MQL stage.

What I want with this workflow is that it should allow the score to settle or stable in this case

Has anyone faced similar issue. Is there a workaround for this

How to include consent information in an internal email

Hello. I have a form with marketing information and one-to-one consent requirements ready, both optional. I have an internal mail set-up to share the info from the form.

What I'm struggling with, and what the internal team wants to know within this email, is if the people have consented to one or both. However, the only thing I find is if they opted out of the information in the personalisation tokens, not opting in.

How can I include this in an internal email?
